AI Transparency Notice
How optional AI assistance uses lesson evidence, what it can suggest, the controls available to instructors and why approval remains mandatory.

Purpose and current model
AI assistance reduces repetitive lesson administration by organising information supplied by the instructor into an editable draft. The current production default is OpenAI GPT-5 mini, selected as an advanced, cost-efficient model for precise and well-defined tasks. The provider or model may be upgraded to a comparable or stronger option as the service develops.
Restricted product scope
The AI endpoint is not a public chatbot. It is limited to driving-lesson record administration: pupil-friendly summaries, evidence-supported strengths and areas to revisit, and practical next-lesson suggestions. It is not connected to general web browsing or open-ended tools and should reject clearly unrelated requests.
How the assistance works
When the instructor requests help, the service sends the submitted factual lesson note and selected AI settings to the server-side model. A strict structured-output format limits the returned fields. Input and output lengths, reasoning level and daily usage are constrained to support reliability, responsiveness and proportionate running cost.
Instructor controls
The instructor can disable AI lesson review entirely or switch individual options on or off, including the advanced cloud model, pupil summaries, strengths and improvement prompts, and next-lesson suggestions. A local analyser remains available when cloud AI is disabled or temporarily unavailable.
No automated professional decision
AI does not independently grade a pupil, decide test readiness, make a safety decision or update a pupil record. The instructor must review, correct and explicitly approve output before it is saved or shared.
Data minimisation and provider handling
Only information needed for the selected lesson task should be submitted. The cloud request contains the instructor's factual lesson note, limited to 6,000 characters, and the selected drafting controls. Instructors should remove unnecessary personal or sensitive detail and must not use AI to process information they are not entitled to disclose.
The configured service uses the OpenAI API. API inputs and outputs are not used to train OpenAI models by default. The Chat Completions endpoint does not retain application state by default, but abuse-monitoring logs may contain input or output content and are normally retained for up to 30 days unless different approved data controls apply. InstructorLane does not claim zero-data-retention.
Accuracy and official sources
AI may produce incomplete, outdated or incorrect wording. It is instructed to use only the submitted note and not invent legal requirements, Highway Code rules, DVSA outcomes or skill levels. The instructor must compare every suggestion with observed evidence and current official sources.
Availability and changes
AI features may be unavailable, rate-limited or changed. Every core lesson-record workflow remains usable without cloud AI. Material changes to the provider, purpose or personal-data handling will be reflected in this notice or the Privacy Notice.
